This privacy statement describes how The Australian Land Conservation Alliance (ALCA, “we”, “our” “us”) collects, stores, uses and discloses your personal information, in keeping with the Australian Privacy Principles in the Privacy Act 1988 (Cth) (the ‘Privacy Act’).
The Privacy Act covers Australian Government agencies and organisations with an annual turnover of more than $3 million, or those who opt in. As an organisation with annual turnover of less than $3 million, we have opted in as a commitment to good privacy practice.
What is personal information
Personal information means any information or opinion that could identify an individual. For example, personal information might include name, email, address, phone number, and photographs. What is personal information will vary, depending on whether a person can be identified or is reasonably identifiable in the circumstances.
Some information may not be personal information when considered on its own. However, when combined with other information held or available to you, it may become ‘personal information’.
Sensitive information is personal information that includes information or an opinion about an individual’s racial or ethnic origin, political opinions or associations, religious or philosophical beliefs, trade union membership or associations, sexual orientation or practices, criminal record, health or genetic information, and some aspects of biometric information. Sensitive information has a higher level of privacy protection than other personal information.
Why we collect personal information
We collect information that is necessary for us to operate and deliver the activities and services we provide for our members, partners, stakeholders and the wider community.
This includes for the following purposes:
• planning, delivering, and improving events, including our annual conference (This may include managing registrations, facilitating attendance and participation, communicating important information before, during, and after the conference, and administering related conference activities such as networking opportunities, sponsorship entitlements, and evaluation).
• developing and implementing collaborations, projects and building professional networks
• seeking donations or sponsorships
• providing information, including through marketing and communications activities about our work (for example, providing attendees with updates about a conference program, logistics, and related events; and sharing sector relevant information)
• recruitment, corporate, administrative and other functions
How we collect personal information
We generally collect personal information directly from individuals, for example, when you ask to become a subscriber, when you register to attend an event, when you make a donation, when you participate in a survey or provide feedback to us, when you apply for a job with us, or when you otherwise interact with us. This might include through:
• website forms and queries;
• email and telephone;
• surveys and electronic forms;
• event registration;
• employment applications;
• database portals; and
• recording of virtual meetings/workshops.
What types of personal information we collect
The information we collect about you depends on the nature of your interaction with us or what you choose to share with us. It may include:
• your name, email address, phone number, role, and organisation, along with your preferences as to when and how we should contact you in the future;
• information you enter on our website forms;
• photographs or videos of you if you attend an event with us;
• details of pages you visit on our website;
• records of donation history;
• correspondence and engagement actions taken with us, including records of your participation in our event program (for example, which sessions you attended or workshops you registered for at an ALCA conference);
• your qualifications, interests, experience and suitability for roles with us;
• your biography, area of expertise and research, and other submission application if your apply to present at an event we deliver
We do not generally collect sensitive personal information about you. Where we do, we will do so only with your explicit consent, and we will advise why we are asking. For example, if you are attending an event, we may ask if you wish to disclose First Nations identity, or if you have any accessibility requirements. This helps us make the event more inclusive and accessible.
Disclosure to third parties
We may disclose your personal information to partners and stakeholders, contractors, suppliers, and other third parties if one of the following applies:
• you consented to a secondary use or disclosure;
• you would reasonably expect it to be disclosed for the secondary purpose and that purpose is related to the primary purpose;
• the law or court requires or allows it;
• it’s needed for things like safety, emergency or legal reasons.
We only permit third parties to use your personal data for specific purposes and in accordance with our instructions, which include deleting it after it has been used for the specified purpose.
We may disclose your information to third-party service providers engaged to support the delivery of our conferences and events (such as registration platforms and professional conference organisers), but only where reasonably necessary and subject to appropriate privacy and confidentiality obligations.
As part of some of our sponsors entitlements we provide delegate details (name, title, role, organisation, email address) to specific sponsors, who are permitted to send one email only to you on a time-limited basis. All sponsors are also entitled to receive a list of delegates (name, title, organisation). Information will be disclosed only if you specifically provide your consent.
To support networking and collaboration, event delegates may be provided access to a delegate list (name, title, organisation). This information will be disclosed only if you specifically provide your consent during registration to the event.
Personal information may be shared with trusted partners where it is reasonably necessary to support network building, which is a core purpose of ALCA. In doing so, we ensures that any sharing is appropriate, limited to what is needed, and carried out in line with privacy obligations, including taking reasonable steps to protect the information and ensuring partners handle it responsibly.
For example, ALCA works in specific partnership with the International Land Conservation Network (ILCN), a US-based global network of private and non-government conservation organisations, in connection with the delivery of the 2027 Global Congress of the ILCN, and related events. As part of this partnership, we may share certain personal information with ILCN for the following purposes:
• Submission and proposal information: where you submit a presentation proposal, the information provided in that proposal will be shared between ALCA and ILCN for the purpose of developing the conference program.
• Travel support requests: where you apply for travel support to attend the conference, the information provided in your application will be shared between ALCA and the ILCN for the purpose of assessing and administering support requests.
• Delegate information: where you register as a conference delegate, relevant registration details will be shared between ALCA and ILCN to support the delivery of conference objectives, including facilitating appropriate networking, grouping delegates by interest or background, and enabling meaningful connections between participants.
• Potential speaker information: where you are being considered as a speaker, relevant information about your background and areas of expertise, as well as your contact details, will be shared between ALCA and ILCN to support program development.
• Stakeholder identification and outreach information: where you are identified as a potential stakeholder that would reasonably be expected to have an interest in supporting promotion of the conference, contact information may be shared between ALCA and the ILCN to support promotion and outreach.
Personal information shared with ILCN is used only for the purposes described above and in accordance with our instructions. Where you have not explicitly opted in to ongoing contact from ILCN, your personal information will not be retained by ILCN beyond the conclusion of delivering the 2027 conference.
We will take reasonable steps to ensure that data security and appropriate privacy practices are maintained by those we share your information with, including that the ILCN or any other overseas recipient is subject to a law or binding scheme that is, overall, substantially similar to the Australian Privacy Principles under the Privacy Act; and the law or binding scheme can be enforced.
If you are an individual based in the European Union, you may have additional rights in relation to your personal data under the General Data Protection Regulation (GDPR), including the right to access, correct, restrict or request deletion of your data. Online activity
We use cookies and similar technologies. A cookie is a small data file stored on your device’s browser. These cookies recognise when your device has visited our website before, so we can distinguish you from other users of the website. This improves your experience and the ALCA website.

How we protect your personal information
ALCA will take reasonable steps to protect your personal information from misuse, interferance and loss, as well as unauthorised access, modification or disclosure. This includes through physical, administrative, personnel and technical measures. For example:
• physically securing our premises and databases/records
• taking measures to restrict access to only personnel who need that personal information to effectively provide services to you
• having robust cybersecurity and technological measures in place (for example, anti-virus software, multi-factor authentication, secure servers and cloud configurations)
We store personal information using third-party service providers, including cloud-based systems. These providers include CRM platforms, email marketing tools, and document or data storage services. Where possible, we use providers that store data in Australia.
We are committed to not retaining your personal information for longer than we need to. In most cases, this means that we will only retain your personal information for the duration of your relationship with us, unless we are required to keep your personal information to comply with applicable laws - for example record-keeping obligations, or for other legitimate business reasons.
In the event of a data breach, we will notify you and the relevant authorities as required by law.
Accessing or correcting your personal information
We will endeavour to keep your personal information accurate, complete and up to date.
You have the right to request access to the personal information we hold about you by contacting us using the information below. We may need to verify your identity when you request your personal information.
If you think that any personal information we hold about you is inaccurate, please contact us and we will take reasonable steps to ensure that it is corrected. You can also request for us to delete your personal information and we will endeavour to do so unless we are required to retain your personal information to comply with applicable laws, for example record-keeping obligations.

ALCA websites may contain links to websites operated by third parties. If you access a third party website through our website(s), personal information may be collected by that third party website.
We make no representations or warranties in relation to the privacy practices of any third party provider or website and we are not responsible for the privacy policies or the content of any third party provider or website. Third party providers / websites are responsible for informing you about their own privacy practices and we encourage you to read their privacy policies.
Enquiries and complaints
If you have an enquiry or complaint about how we handle, process or manage your personal information, please contact us using the details set out below. We may require proof of your identity and full details of your request before we can process your enquiry or complaint.
We will endeavour to acknowledge your complaint within two working days, and respond to you regarding your complaint within 30 days of receipt. If you think that we have failed to resolve the complaint satisfactorily, we will provide you with information about the further steps you can take.
